COLLECTION RELOCATION PROJECT MANAGER JOB DESCRIPTION:
The Collection Relocation Project Manager is an integral part of the daily operations for a fast-paced, high volume project management and logistics team in the fine arts industry. This is a client facing position that provides excellent customer service through impeccable communication, accurate representation of client needs, and prompt execution of commercial processes. This role has a specialization in collections care and partners with other internal resources to assure seamless and efficient service for both small- and large-scale moves. This role requires an understanding of art collection management processes and the ability to apply this knowledge to the long-term care of a wide variety of collections. Responsibilities include the following areas:
Project Management:
• Provides excellent front-line, responsive customer service through oral, written, and visual communication.
• Gathers initial client expectations and requirements to develop a scope of work.
• Proactively develops long term client relationships and identifies future needs and opportunities for them.
• Responds to client concerns and inquiries to resolve issues promptly and ensure client satisfaction.
• Understands and manages client expectations, requirements, and sensitivity.
• Develops, writes, and submits commercial documents such as accurate estimates, proposals, and invoices to the client in compliance with existing company policies, procedures, service level agreements and contracts.
• Negotiates with client to gain written approval of estimates and contracts.
• Engages project developer, technical leads, and other internal resources to develop, estimate and execute the scope of work for large scale projects.
• Manages scope, resources, time, budget, change and quality for a range of projects from small, one-time jobs to high risk or complex projects.
• Identifies and mitigates risk.
• Communicates with both internal and external stakeholders to ensure seamless service delivery.
• Maintains accurate and complete project records and ensures timely and accurate billing and payment of invoices in accordance with company policies.
• Provides project support to team, including project administration, documentation, and coordination.
• Performs other project duties as assigned.
• Supports project management and logistics team by attending and participating in team meetings, maintaining team calendars, and coordinating with all service lines.
• Remains up to date on industry best practices and standards.
Collection Relocation Services:
· Utilize specialized knowledge of contemporary museum best practices and industry standards for art handling, transportation, and storage to plan and manage the relocation of art collections.
· Partner with Senior Technical Consultants and other internal resources, industry partners, and external vendors to create safe packing and transportation plans for the relocation of art collections.
· Ensure quality of care and handling of artwork during storage, packing, crating, and shipping.
· Catalogue associated artworks, maintain physical and digital artwork activity records, and manage the inventory throughout all phases of projects.
· Serve as field registrar to assist with data management, systems compliance, and client management.
· Train with Registrar/Collections Manager and work closely with the Storage Department.

Other duties as assigned/agreed.
THIS POSITION:
Operates on both the PM Team and Storage Team.
Reports to Registrar/Collections Manager.
Full time (40 hours per week)
Eligible for overtime and off-hours shifts.
Generally scheduled Monday through Friday, 8:30am – 5pm with day starting and ending in Renton/Kent area.
Hours inhouse and field will vary based on the needs of the business; must have flexibility.
Travel between 5-15%.
This position is not eligible for remote work.
Required Skills and Abilities:
• Demonstrated in-depth knowledge of contemporary museum best practices and industry standards for art handling, transportation, and storage.
• Bachelor’s degree required.
• Post-graduate degree in Museum Studies or similar program preferred.
• 2+ years of experience in customer service, sales or project management in art services or logistics, or combination of experience and education required.
• Working experience in registrar role preferred.
• Proficiency in collections management databases, Microsoft Outlook, Word, Excel, and PowerPoint.
• Demonstrated financial acumen and leadership skills.
• Highly adept at building client relationships in a self-directed, fast-paced environment where priorities change quickly.
• Strong collaboration and influencing skills.
• Clean, tidy appearance.
• Uncompromising discretion and professionalism
• Ability to obtain TSA CCSF training and an STA number.
• Must pass full background check.
• Valid WA driver’s license
