Washington Transportation Supervisor

The Washington Transportation Supervisor position works within the Transportation Department and with cross-functional employees to provide subject matter expertise for domestic and international shipping and TSA compliance. The Washington Transportation Supervisor is responsible for the success of transportation-specific projects that fall outside the scope of the Shipping and Logistics Specialist or a Project Manager.   The Washington Transportation Supervisor works with internal stakeholders and outside vendors to plan and execute freight movements and work within the Logistics team to support larger projects and shipping jobs.  The Washington Transportation Supervisor is responsible for ensuring compliance with all TSA programs including the IAC and CCSF programs.  The Washington Transportation Supervisor also interacts with customers to arrange for collection, documentation, booking, and estimating of shipments.

 

The Washington Transportation Supervisor has the Following Responsibilities:

  • Manages proposals and work orders for large, transportation-heavy estimates.

  • Works with freight forwarders and carriers to obtain competitive freight rates.

  • Provides excellent front-line, responsive customer service through oral, written and visual communication.

  • Communicates with clients, freight forwarders and shipping lines to prepare shipping documents in a timely manner.

  • Communicates with importers to assist with import preparation.

  • Gathers initial client expectations and requirements to develop a scope of work.

  • Proactively manages client relationships and expectations. Responds to client concerns and inquiries to resolve issues promptly and ensure client satisfaction.

  • Develops, writes and submits commercial documents such as accurate estimates, proposals and invoices to the client in compliance with existing company policies and procedures. Negotiates with client to gain written approval of estimates and contracts.

  • Manages planning, coordination and execution for Artech’s West Coast Shuttle service.

  • Occasionally comes in early or late to assist with various activities in support of the West Coast Shuttle.

  • Communicates with both internal and external stakeholders to ensure seamless service delivery.

  • Ensures timely and accurate billing and payment of invoices in accordance with company policies.

  • Maintains accurate and complete project records.

  • Establishes and communicates performance standards and expectations for logistics vendors. Evaluates, tracks and monitors vendor performance to meet Artech standards and continuously improve shipping processes.

  • Coordinates vendor payments, purchase orders and/or agreements in accordance with company policies. 

  • Supports logistics team by attending and participating in team meetings, maintaining team calendars and coordinating with all service lines.

  • Trains all Washington state employees in relevant IAC and CCSF policies and procedures.

  • Maintains initial and recurrent employee training logs for all TSA-related programs.

  • Creates and maintains STAs for all new and existing employees in Washington state.

  • Maintains training logs for IAC relationships in relation to Artech’s capacity as an Authorized Representative for third party shippers.

  • Possesses deep knowledge and understanding of IACSSP Change 6.

  • Stays up to date on new TSA regulations via the IACMS.

  • Develops knowledge and expertise in international & domestic freight forwarding standards.

  • Interfaces with GPS system for real time fleet tracking and deployment.

  • Occasionally assists the Transportation Department Manager with various tasks related to sales and fleet management.

  • Performs other project duties as assigned.

Required Skills and Abilities:

  • 2-4 years of experience in freight forwarding, import/export, or general logistics.

  • 2-3 years of experience as a project manager.

  • Excellent customer service and communication skills.

  • Experience in fine art services field preferred.

  • Experience in TSA compliance.

  • Bachelor’s degree preferred.

  • Intermediate to Advanced understanding of Microsoft Excel, Outlook and Word

  • Ability to work as part of a team, independently and in cross-functional teams

  • Ability to build and maintain interpersonal relationships with co-workers and clients

  • Travel between 0-10%
